NeoHERO Foundation® is a nonprofit organization dedicated to improving neonatal emergency preparedness through education, equipment, advocacy, and collaboration with emergency medical services and healthcare partners.

As NeoHERO continues to grow, we are seeking a highly organized, dependable, and mission-driven EMS Program Manager to work directly with the Founder & CEO in the coordination and execution of NeoHERO’s educational programs and day-to-day program operations.

Position Summary

The EMS Program Manager is a full-time position responsible for carrying out and coordinating program operations under the direction of the Founder & CEO.

This individual will work closely with the CEO to execute organizational priorities, coordinate NeoMASTER COURSE™ scheduling and delivery, manage Instructor Faculty logistics, communicate with participating agencies, monitor program requests and website submissions, coordinate equipment and educational materials, and ensure that assigned projects and operational responsibilities are completed efficiently and professionally.

The CEO will continue to provide direct oversight and make organizational, strategic, and significant operational decisions for the Foundation. The EMS Program Manager will be responsible for executing those decisions, managing assigned responsibilities, and ensuring that the many operational components of NeoHERO’s programs move forward successfully.

This position requires initiative, accountability, excellent follow-through, and the ability to independently manage assigned tasks while maintaining close communication with the CEO.

Primary Responsibilities

NeoMASTER Course Coordination

  • Coordinate the scheduling and logistical execution of NeoMASTER COURSE™ programs under the direction of the CEO.

  • Communicate with EMS agencies regarding available dates, course requirements, enrollment, locations, equipment needs, and other logistics.

  • Maintain the NeoMASTER course calendar and assist with coordinating multiple courses across different agencies and geographic areas.

  • Coordinate Instructor Faculty assignments for scheduled courses.

  • Ensure instructors and participating agencies receive necessary information and materials before each course.

  • Follow up on outstanding scheduling, documentation, or logistical needs.

  • Maintain accurate records related to scheduled and completed courses.

  • Escalate scheduling conflicts, special requests, or other significant matters to the CEO as appropriate.

Instructor Faculty Coordination & Supervision

  • Assist the CEO with recruitment, hiring, onboarding, and training of NeoHERO Instructor Faculty.

  • Carry out faculty hiring and onboarding processes in accordance with CEO direction and established NeoHERO policies.

  • Maintain Instructor Faculty records, credentials, availability, and required documentation.

  • Coordinate and maintain Instructor Faculty schedules.

  • Communicate teaching assignments, expectations, course information, and changes to faculty.

  • Provide day-to-day supervision and support to Instructor Faculty within established NeoHERO policies and procedures.

  • Monitor faculty compliance with organizational and educational requirements.

  • Communicate performance concerns, staffing needs, or other significant faculty matters to the CEO.

  • Assist with ongoing faculty development and training.

Agency Communication & Program Support

  • Serve as a program liaison between NeoHERO and participating EMS agencies as delegated by the CEO.

  • Respond to routine agency questions and program requests.

  • Maintain professional and timely communication with EMS agencies, educators, community partners, and other program contacts.

  • Assist the CEO with agency follow-up, relationship management, and implementation of new partnerships.

  • Ensure commitments made to participating agencies are appropriately tracked and completed.

  • Refer contractual, financial, strategic, or other significant organizational decisions to the CEO.

Administrative & Operational Coordination

  • Routinely monitor NeoHERO website form submissions, including course requests, instructor applications, and other program inquiries.

  • Ensure submissions are documented, organized, and addressed in a timely manner.

  • Maintain program calendars, records, contact information, and operational tracking systems.

  • Assist with preparation of reports, correspondence, educational materials, and other program documentation.

  • Track assigned projects and provide regular updates to the CEO.

  • Help ensure that operational tasks delegated by the CEO are completed accurately and on schedule.

Equipment & Course Materials

  • Coordinate ordering and preparation of equipment, supplies, and educational materials for NeoMASTER courses.

  • Monitor program inventory and identify upcoming equipment or supply needs.

  • Coordinate the distribution, transportation, return, storage, and replenishment of training equipment as needed.

  • Communicate purchasing needs to the CEO and place approved orders as directed.

  • Ensure Instructor Faculty have the necessary equipment and materials for scheduled courses.

Teaching & Travel

  • Maintain eligibility to serve as NeoHERO Instructor Faculty.

  • Teach NeoMASTER courses as assigned.

  • Travel to EMS agencies and other training locations throughout South Carolina and potentially outside of the state as NeoHERO expands.

  • Assist with course setup, instruction, breakdown, and equipment management when necessary.

  • Work-related travel will be reimbursed in accordance with NeoHERO Foundation policies.

Conferences, Events & Organizational Representation

  • Attend conferences, meetings, community events, and professional engagements on behalf of NeoHERO when assigned by the CEO.

  • Assist with conference exhibits, educational demonstrations, presentations, and outreach activities.

  • Professionally represent NeoHERO Foundation when interacting with EMS agencies, healthcare professionals, government partners, sponsors, donors, and community stakeholders.

  • Assist with special projects, Foundation events, and other organizational initiatives as assigned.

Qualifications

Required

  • Current Paramedic certification or other appropriate advanced EMS credential

  • Bachelor's degree in EMS, healthcare, education, business, public administration, or a related field

  • Experience working within Emergency Medical Services

  • Experience in EMS education, training, program coordination, or a related role

  • Strong organizational and time-management skills

  • Excellent written and verbal communication skills

  • Demonstrated ability to manage multiple assignments and deadlines simultaneously

  • Experience coordinating or supervising personnel

  • Strong attention to detail and follow-through

  • Comfortable communicating with EMS leadership, educators, healthcare professionals, and community partners

  • Ability to work effectively under the direction of executive leadership

  • Ability to travel regularly

  • Valid driver’s license and reliable transportation

  • Ability to meet and maintain NeoHERO Instructor Faculty requirements

  • Comfortable with standard computer applications and able to learn NeoHERO’s administrative, educational, and scheduling platforms

Preferred

  • Master's degree in EMS, healthcare, education, business, public administration, or a related field

  • Experience as an EMS educator, training officer, field training officer, or instructor

  • Experience scheduling instructors, employees, or contractors

  • Experience coordinating continuing education programs

  • Experience working with multiple EMS agencies or regional EMS systems

  • Experience with conferences, professional outreach, or public speaking

Position Structure

The EMS Program Manager reports directly to the Founder & CEO.

This position is designed to provide operational support to the CEO as NeoHERO Foundation continues to grow. The CEO retains responsibility and authority for the Foundation’s strategic direction, organizational decisions, partnerships, financial decisions, and overall day-to-day leadership.

The EMS Program Manager is entrusted with carrying out delegated responsibilities, coordinating program operations, supervising assigned Instructor Faculty activities, and ensuring that organizational priorities established by the CEO are implemented effectively.

Success in this role requires someone who does not need to be reminded of every next step, but who also understands when a decision requires CEO involvement or approval.

Schedule & Travel

This is a full-time position requiring flexibility based on the needs of NeoHERO’s programs and course schedule.

Regular travel should be expected. Some courses, conferences, and organizational events may require early mornings, evenings, weekends, or overnight travel. Approved work-related travel expenses will be reimbursed in accordance with Foundation policy.

The Person We Are Looking For

NeoHERO is looking for someone who is exceptionally dependable, organized, responsive, and capable of turning direction into action.

The right person will be comfortable receiving priorities from the CEO and taking ownership of the work required to complete them. They should be able to keep track of numerous courses, instructors, agencies, equipment needs, communications, and deadlines without losing sight of details.

Most importantly, this person must understand that working for a growing nonprofit often means wearing multiple hats. One day may involve coordinating instructors and responding to agencies; another may involve loading simulation equipment, teaching a NeoMASTER course, preparing for a conference, or helping execute a new Foundation initiative.

This role will be an important extension of the CEO in the operational execution of NeoHERO’s programs and will directly contribute to the Foundation’s ability to reach more first responders and ultimately improve emergency care for newborns.
